ACCOMMODATIONS & ROOM RATES
The 2023 UELAC Conference Planning Committee has reserved a block of rooms. Do not delay in making your early reservations to receive the negotiated accommodation pricing.
Based upon Customer’s total program requirements as outlined in this agreement, Hotel confirms the following group rates (net of all taxes):

Upgraded room types are available as follows: Club Floor King (+$50.00), Junior Suite (+$75.00), Executive Suite (+$140.00). A cot (maximum of “one” cot per room) can be supplied in a Traditional King Room or Suite if required and based on availability. Rates may be available 3 days prior and 3 days after the Program Dates indicated in the Room Block, subject to availability of guest rooms at the time of reservation.
Pre/Post Conference Reservations
Attendees needing pre- and post-conference reservations, please book the 2023 Conference dates online first, and then call the hotel (604 273 7878) to confirm availability of pre/post conference extension at the conference rate. The pre/post conference nights can be booked subject to availability.

METHOD OF RESERVATIONS: Reservations for the Event will be made by the following method:
INDIVIDUAL CALL-IN: A block of rooms has been set-aside for the Event over the above noted dates. Reservations can be made directly with Sheraton Reservations at 1-800-663-0299 or Hotel can provide a booking code for participants to book on our website. Individuals need to state that they are attending the Event to receive special group rates no later than the “cut-off date” (01-May-2023)
GUARANTEED RESERVATIONS
All reservations must be accompanied by a first night room deposit or guaranteed with a major credit card or by the Customer. The Hotel will not hold any reservations unless secured by one of the above methods. For reservation cancellations made by 4:00PM hotel time forty-eight (48) hours prior to the arrival date, there will be no forfeiture amount and the first night room deposit will be refunded. For cancellations received after 4:00PM hotel time forty-eight (48) hours prior to the arrival date, a forfeiture amount of one (1) night plus applicable taxes/DMF will apply and the first night room deposit will be non-refundable. If the reservation is guaranteed by a major credit card, the participant will be charged the forfeiture amount. If the reservation is guaranteed by the Customer, Customer will be billed the forfeiture amount to the Master Account.
Hotel Check-In Time: 3:00PM. Any request for arrival prior to 3:00PM is subject to availability and additional charges.
Hotel Check-Out time: 12:00PM. Any request for departure after 12:00PM is subject to availability and additional charges.
CUT-OFF DATE
Reservations by attendees must be received on or before is 5:00PM local time at Hotel on 01-May-2023 (the “Cut-Off Date”). At the Cut-Off Date, Hotel will review the reservation pick up for the Event, release the unreserved rooms for general sale, and determine whether or not it can accept reservations based on a space- and rate-available basis at the Customer’s group rate after this date.
NO ROOM TRANSFER BY GUEST
Customer agrees that neither Customer nor attendees of the Event nor any intermediary shall be permitted to assign any rights or obligations under this Group Sales Agreement, or to resell or otherwise transfer to persons not associated with Customer’s reservations for guestrooms, meeting rooms or any other facilities made pursuant to this Group Sales Agreement.

Event Summary: Early dates are for either Pre-Conference should you wish to extend your Conference Holiday in British Columbia at the agreed price for your room. Post-Conference rates are also offered; just let Sheraton Reservations know of your plans.
